Zapier does not hold your contacts. So it is a bridge, not a home. That is its strength and its weakness at once.

Make.com — cheaper at volume, with a steeper first week

Make.com does a similar job to Zapier and costs less once you run a lot of steps. It shows your automation as a visual map of connected dots, which many people find clearer for complex logic.

Plans are billed by credits. The Core plan is about $10.59 a month, and Pro is about $18.82 a month, each at 10,000 credits (annual billing drops these to $9 and $16). A free tier lets you test.

The trade-off is the learning curve. The first week takes patience. Once it clicks, Make handles branching and loops for less money than Zapier at the same volume.

n8n — self-hosted control for teams who own their server

n8n suits a technical team that wants to host the tool itself and keep full control of the data. The community edition is free to self-host, with unlimited runs, if you have a server to put it on.

Prefer not to manage servers? The cloud Starter plan is about $24 a month (or €20 billed annually) for 2,500 executions. That is the trade: free but hands-on, or paid and managed.

n8n is powerful and open. But it asks more of you than a hosted tool. I only suggest it when someone on the team is comfortable with a VPS.

ActiveCampaign — automation that lives mostly inside email

If most of your automation is email follow-up, ActiveCampaign is strong. Its email logic is deep, with clear branching, tagging and timing. Billed annually, plans run $15 (Starter), $49 (Plus) and $79 (Professional) a month at 1,000 contacts.

Watch the contact-based pricing. The bill climbs as your list grows. At 10,000 contacts the Professional plan is $375 a month, so the low entry price does not stay low.

It is not a funnel builder, a booking system or a reputation tool. For email-led automation, though, it is a clean pick.

Workato — integration governance for large IT teams

Workato is built for big companies that need control and audit trails across hundreds of internal systems. It is an enterprise iPaaS with strong governance, not an agency tool.

There is no public price. Deals are quote-only, and the Standard edition reportedly starts near $10,000 a year. That figure alone tells you the audience.

For a creative agency, this is overkill. I include it so you can rule it out with confidence.

Pabbly Connect — one-time pricing instead of a monthly bill

Pabbly Connect is the pick when you hate monthly fees. It offers lifetime deals, so you pay once and keep it. The Standard tier is $349 one-time, and the Ultimate tier is $799 one-time, each with a monthly task allowance.

There are annual plans too, from about $16 a month (Standard) up to $67 a month (Ultimate). It is a connector like Zapier, cheaper, with a smaller app library.

The lifetime option is rare and useful. Just check the apps you need are supported before you buy.

Tray.ai — complex enterprise orchestration, priced by quote

Tray.ai (once Tray.io) targets enterprises building complex, custom automations across many systems. It connects 700-plus apps and adds AI orchestration on top.

Pricing is quote-only, with third parties putting the Pro tier near $595 a month. There is no self-service free tier. This is a serious platform for a serious budget.

An agency almost never needs this. Like Workato, I list it so the enterprise option is on the table and clearly out of range for most.

IFTTT — simple consumer-grade triggers for one-step tasks

IFTTT is the simplest tool here, made for one-step "if this, then that" tasks. It shines for personal automations and smart devices, less so for client work.

The free plan covers two active applets. Pro starts at about $2.99 a month, and Pro+ is about $8.99 a month. Those prices tell you the scale it is built for.

For an agency workflow, it is too light. I mention it because people ask, and the honest answer is: not for this.

Integrately — one-click, pre-built automations you switch on

Integrately sells ready-made automations you turn on with a click, so you skip building from scratch. If your needs are common, a pre-built recipe may already exist.

The Starter plan is $19.99 a month billed annually (or $29.99 monthly), and Professional is $39 a month. Growth and Business plans go higher for more tasks.

It is a friendly connector for simple, standard flows. Custom or deep logic is where it runs out of room.
